Position Summary

Company is seeking a professional, organized, and customer-focused Front Desk Receptionist to serve as the first point of contact for visitors, customers, vendors, and employees. This position plays a critical role in creating a positive first impression while supporting daily administrative operations in a fast-paced manufacturing environment. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities while maintaining confidentiality and professionalism.

Essential Duties and Responsibilities

  • Greet and assist visitors, customers, vendors, and contractors entering the facility.
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Manage facility access procedures, visitor logs, and visitor badges in accordance with company security policies.
  • Coordinate conference room scheduling and assist with meeting preparations.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Maintain front office appearance and ensure reception area remains clean and professional.
  • Support recruiting activities by greeting candidates and coordinating interview logistics.
  • Maintain office supply inventory and place orders as needed.
  • Assist with data entry, filing, document management, and other administrative tasks.
  • Coordinate travel arrangements and accommodations when required.
  • Provide administrative support to management and department leaders.
  • Handle sensitive and confidential information with discretion.
  • Assist with company events, employee recognition programs, and special projects.
  • Support safety initiatives and comply with all company policies and procedures.
  • Assist the Human Resources department with new employee onboarding activities, as well as other HR administrative tasks as needed.
  • Perform other duties and responsibilities as assigned; flexibility and adaptability to support the needs of the team and the company are highly valued.

Qualifications

Education & Experience

  • High School Diploma or GED required.
  • Associate degree in Business Administration or related field preferred.
  • Minimum of 2 years of receptionist, administrative assistant, or customer service experience preferred.
  • Experience in a manufacturing, industrial, or construction environment is a plus.

Knowledge, Skills, and Abilities

  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Strong organizational and time-management skills.
  • Professional appearance and demeanor.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Comfortable interacting with all levels of employees, visitors, and executives.
  • Strong attention to detail and accuracy.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to operate standard office equipment, including computers, printers, copiers, and multi-line phone systems.

Work Environment

This position operates in a professional office environment located within an active manufacturing facility. The employee may occasionally be exposed to noise, moving machinery, forklifts, and other industrial conditions while visiting production areas.
