Job Description

POSITION OVERVIEW:

The core task of this individual is to support the service department daily activities. Maintain good internal and external customer relations by providing customer service that exceeds the customers' expectations.

PRIMARY DUTIES AND RESPONSIBILITIES:

• Provide customer support and service
• Schedule all incoming emergency calls in a faced paced environment
• Coordinate planned maintenance visits and spare parts inventories
• Maintain the service log and update as needed
• Work with Coast CMMS to schedule
• Keep service calendar up to date
• Process all applicable service calls and approve/process all vendors bills and submit for invoicing per policy
• Compile service proposals as needed
• Assist with maintenance agreement proposals and renewals as needed

PROCESS CUSTOMER ORDERS INCLUDING ANY OR ALL THE FOLLOWING:

• Coordinate any additional follow-up visits/repairs if needed
• Review of open sales order reports
• Collecting new service customers information and enter into the CMMS
• Collecting payment and new credit terms information

OTHER DUTIES AND RESPONSIBILITIES

• Maintain positive communications with service staff and company managers
• Assist in the development of better procedures for the department as required
• Accept new duties and responsibilities when assigned
• Establish relations with new subcontractors
• Create service folders, file invoices and service tickets

EXPERIENCE

• Service team dispatching for at least 2 years
• Conveyor industry experience is a plus

SKILLS REQUIRED

• Strong Microsoft 365, Excel, Word, Outlook, internet, QuickBooks
• Experience with Google Sheets is a plus.
• Strong customer service skills with the ability to communicate professionally with customers, vendors, and internal teams.
• Vendor coordination including communication, follow‑ups, and issue resolution.
• Bill and invoice processing with attention to detail and accuracy
• Strong written and oral communication skills are required
• Strong attention to detail
• Self-motivation and ability to multi-task
• Possess strong follow up and organizational skills and be “time conscience”
