Polaris Estate Planning & Elder Law is hiring a Legal Intake Specialist for our Creve Coeur office . This is a frontline client experience role where you are the first point of contact. Polaris is a mission-driven law firm that helps families protect what matters most before a crisis happens.

They may be worried about aging parents, long-term care costs, probate, or how to protect their family and assets. About the Role

This is an in-office position. As our Legal Intake Specialist , you will be the first point of contact for prospective clients . You will answer calls, respond to inquiries, gather important information, schedule consultations, and help ensure every prospective client has a smooth and positive experience from the very beginning.

Compensation:

$45,000 - $50,000 yearly

Responsibilities:
  • Serve as the first point of contact for prospective clients by phone and other inbound inquiries
  • Speak with prospective clients in a warm, professional, and empathetic manner
  • Gather key information and enter it accurately into the firm’s systems
  • Help identify the appropriate next step based on the prospective client’s needs and the firm’s process
  • Schedule consultations accurately with the appropriate team member
  • Confirm appointments and help prospective clients feel prepared for their consultation
  • Keep intake records, notes, and follow-up tasks organized and up to date
  • Communicate clearly and professionally with prospective clients and internal team members
  • Help create a polished, consistent, high-quality client experience that reflects the Polaris brand
Qualifications:
  • Customer service, intake, hospitality, reception, scheduling, sales support, or other client-facing experience preferred

  • Excellent verbal and written communication skills

  • Strong phone skills with high volume

  • Self-starter and works well independently

  • Personal pace is quick by nature

  • Strong phone presence and the ability to build trust quickly

  • Close attention to detail and strong organizational skills

  • Comfortable using CRM systems, scheduling tools, and Microsoft Office

  • Able to manage multiple responsibilities in a fast-paced environment

  • Strong follow-through and personal accountability

  • Legal experience is a plus, but not required

  • High school diploma required; college degree preferred
